Privacy Policy
Last updated October 13, 2026
This policy explains what information Veyara (“Veyara”, “we”, “us”) collects when you use veyara.co, the Veyara workspace and the Veyara browser extension, how we use it, and the choices you have. We don't sell your information and we don't use it for advertising.
Information we collect
Account information
Your email address, and the name and company you enter when you create your account.
Your workspace content
What you and your guests create in Veyara: meetings and who joined them, tasks, notes, messages, drafts and approvals, settings and preferences, and the history of actions taken in your workspace. Your workspace is private to your account.
Guests
When someone joins a meeting with a guest link, we store the name they enter, the email address they choose to give (optional, so the host can send the recap), their caption language, and their participation in that meeting. Guests only see what the host chooses to share.
Video and audio
Meeting video, audio and screen sharing travel directly between the browsers in the meeting (peer to peer). They don't pass through Veyara's servers and Veyara doesn't record them. To set up those connections, browsers exchange connection details (such as network addresses) through Veyara, and use Google's public STUN servers to discover their own network address.
Transcripts and captions
When the host turns on Record, each participant's browser turns what they say into text using the browser's speech recognition (which may be handled by the browser maker, such as Google or Apple), and sends that text to Veyara. Veyara keeps it as the meeting transcript and shows it as live captions. Everyone in the meeting sees that it's being recorded. Veyara doesn't keep audio or video.
Files you upload
Files you upload are stored in your workspace. Guests can view a file only after you show it in a meeting and they accept it.
Accounts you connect
You can connect a Microsoft 365 or Google account in Settings → Connections. You sign in on Microsoft's or Google's own page; Veyara never sees your password. Veyara receives an access token for only the services you choose, stores it encrypted, and uses it only when you ask:
- Calendar (Outlook or Google Calendar): Veyara reads your events from the past week to three weeks ahead to show your schedule and find free times, and adds the events you ask for: a follow-up only you attend is added when you ask Veyara to find a time, and a meeting with other people is added only after you approve it. Your calendar provider sends the invitations.
- Outlook mail: Veyara sends emails you approve from your mailbox. It doesn't read your inbox.
- OneDrive: Veyara lists your recent files when you choose to import one, and copies only the file you pick into your workspace.
- Google Drive: Veyara can open only the files you pick in Google's file picker, and copies the file you pick into your workspace.
You can disconnect at any time in Settings → Connections; Veyara then deletes its access token (and asks Google to revoke it) and removes the synced calendar events. You can also remove Veyara's access from your Microsoft or Google account settings.
Veyara's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Data from Google is used only to provide the features you use in Veyara, is not used for advertising, is not sold, is not used to train AI models, and is not read by people except with your permission, for security, or as required by law.
Emails you send
When you approve an email (such as a meeting recap), we send its content to the recipients you approved: from your own Outlook mailbox if you connected it, otherwise through Veyara mail with your email address as the reply-to address.
Voice and typed requests
When you speak to Veyara, your browser's built-in speech recognition turns your voice into text. Depending on your browser, that may be handled by your browser maker (for example Google in Chrome or Apple in Safari) under their privacy terms. Veyara receives the resulting text, not a recording of your voice. Veyara's spoken replies are produced by your browser.
Text you select with the extension
If you use the Veyara browser extension, it reads text on a page only when you select it, right-click and choose a Veyara item. That text, the page title and the page address (without any query string or fragment) are sent to your own workspace and kept private to you until you choose to share or remove them.
Billing
If you choose a paid plan, Stripe collects your payment details on its own checkout page. Veyara receives your plan, its status, the renewal date and a Stripe customer reference, and keeps them while you have an account (and longer where tax and accounting law requires).
Technical information
To keep Veyara secure, each request is checked before it reaches your data. This uses technical details such as IP address, browser user agent and request signatures to tell people and verified agents apart from unknown automated traffic, to apply rate limits, and to keep counts of allowed and blocked requests. Our hosting provider also keeps standard server logs.
Cookies and local storage
- Session cookie: keeps you signed in for up to 30 days. Required.
- Guest room cookie: lets a guest's browser rejoin the meeting they were invited to, for up to 24 hours. Required for guests.
- Local storage: remembers conveniences in your browser, such as the last page you opened and your voice settings.
We don't use advertising or third-party tracking cookies.
How we use information
- To create your account and sign you in with one-time email codes.
- To run the features you use: meetings, guest links, captions and translation, recaps, tasks, files, drafts, approvals, email and Veyara's answers.
- To keep Veyara secure, prevent abuse and fix problems.
- To contact you about your account or important changes to Veyara.
Service providers
We use a small number of providers to run Veyara. They process information only on our behalf:
- Netlify: hosts the website and app and stores workspace data.
- Stripe: processes payments for paid plans. Stripe collects your card and billing details directly; Veyara never sees or stores your card number, and keeps only your plan, its status and Stripe's customer reference.
- Sendable: delivers sign-in code emails and the emails you approve.
- Anthropic (Claude), through Netlify's AI Gateway: translates captions and the files you ask to translate, writes meeting recaps from the transcript, and helps understand requests Veyara's built-in rules don't. It receives only that text (plus the names of the people in the meeting when it helps with a request), not your password or the rest of your workspace.
- Microsoft and Google: only if you connect your account, as described above.
- Google STUN servers: help browsers in a meeting find each other's network address. They see network addresses, not meeting content.
- Wayleave: the request-checking software described above. It runs inside Veyara; request counts are kept by Veyara.
We'll update this policy before adding another provider that processes your workspace content. We may disclose information if required by law or to protect the rights and safety of Veyara, our users or others.
Retention and deletion
Sign-in codes expire after 10 minutes. Your account and workspace, including transcripts, recaps and uploaded files, are kept while your account is active. You can clear your workspace at any time with Reset workspace. To delete your account and workspace completely, email info@veyara.co from the address you sign in with. We delete it within 30 days, apart from limited records we must keep for security or legal reasons.
Your choices and rights
You can ask to access, correct, export or delete your information, or object to how we use it, by emailing info@veyara.co. Depending on where you live, you may have additional rights under laws such as the GDPR or the California Consumer Privacy Act, and you can complain to your local data protection authority.
Security
Veyara uses HTTPS, passwordless sign-in with short-lived codes, signed session cookies, per-account workspaces, request checks and rate limits, and an action log. Anything that leaves your workspace, such as an email or file share, waits for your approval. No system is perfectly secure, so please tell us at info@veyara.co if you find a problem.
Children
Veyara is for business use and isn't intended for anyone under 16. We don't knowingly collect information from children.
International users
Veyara is operated from the United States, and your information may be processed in the United States and other countries where our providers operate.
Changes
If we change this policy, we'll update the date above, and for significant changes we'll let you know by email or in the app before they take effect.
